Lost property Policy for Staff and Guests

Standard Operating Procedure for Lost and Found in VOF Motels/Resorts

  1. Upon discovering a lost item, promptly transport it to the designated lost and found area in the hotel/motel that can be found at reception.
  2. Ensure the item is in a secure area and under lock and key when staff are not present. Each Motel/Hotel will need to have a sign at reception outlining where the lost and found will be located.
  3. Record the item in the Lost Property File, provided to you by your HR Team. Pleaseinclude all details in the columns, including description of the item, time it was found and where it was found for example.
  4. Before storing the item, please put in a plastic bag and label.
  5. Safeguard valuable items such as phones, wallets, jewellery, computers etc by storing them in a secure place
  6. Nonvaluable items will be retained in the lost and found in motels for 2 months and if unclaimed, will be disposed of.
  7. Perishable items such as food will not be kept.

 

Lost Property Policy for Guests

How Lost Items are claimed and reported in Vertua Opportunity Fund Motels

A guest reporting and claiming back lost items is effortless. Guests can contact reception directly at the motel/resort where they lost the item or email the motel directly on the following email:

Guest seeking to claim a lost item should present sufficient details such as:

Description of the item
Where it was misplaced
When it was misplaced
Please also ensure you include your full name and contact details.

The team at the designated site will check the lost and found and advise if the item has been handed in.

Each site has a file which includes all items that have been handed in for lost property and details, times, location where the item was found.

If the item is not located it will stay on the register and the team at each site will review this weekly.

Nonvaluable items will be retained in the lost and found in motels for 2 months and if unclaimed, will be disposed of.

Perishable items such as food will be discarded after 3 days if not claimed.

Any valuable items will be kept for 2 weeks. Following this will be provided to the local police. (Valuable items are deemed $200 and over as managements discretion)

Return of good are at guests’ expense.

 

Tips for Guest to Avoid Losing their property

While our sites strive to manage lost property items effectively, guests can take pro-active steps to prevent the loss of their belongings:

  1. Designated place for valuables: Make sure that you do not leave important items like keys, wallets, mobile phone, etc in places they can be easily lost.
  2. Double check before departure: make sure you scan through your room properly, no matter how many times you may have already done it, just to be safe that nothing is left behind.
  3. Stay organised: Always arrange items inside a suitcase or specific bag.
  4. In the event you may lose something, contact the site as soon as possible.
